SCANVENGER HUNT ENGAGES, EXCITES AND ENHANCES 2014 NACCDO/PAN CONFERENCE
Organizers call SCANVenger Hunt the “perfect fit” for engaging sponsors and attendees
It’s a challenge many event organizers and meeting planners face: how do we increase our sponsors’ visibility and make sure our attendees interact with our sponsors and each other? It’s a challenge organizers of this year’s NACCDO/PAN Annual Conference successfully overcame by integrating SCANVenger Hunt into their event held April 23rd-26th in Columbus, Ohio and hosted by The Ohio State University.
“The main reason we thought this would be a good idea for our conference was there was some feedback from the conference in 2013 that the sponsors didn’t feel that they were getting a lot of exposure to the participants,” said Sarah Schmidt, senior manager of events and conferences at The Ohio State University Comprehensive Cancer Center. “We as Ohio State wanted to offer something a little bit different, that was fun for the participants and this seemed to be the perfect fit,” she said.
The NACCDO/PAN Annual Conference brings together development officers, as well as marketing and public relations professionals from National Cancer Institute (NCI)-designated or funded cancer centers, and this year’s conference drew 300 attendees and dozens of sponsors to Columbus.
“It was great for the sponsors to be able to provide questions, and true-or-false or multiple choice answers, and then you scan the code and you don’t know the answer unless you talk with the sponsor themselves,” Schmidt said. “It really helped with that engagement between the sponsors and the participants.”
Schmidt said not only were this year’s sponsors happy with how SCANVenger Hunt increased their time with attendees, participants also left glowing reviews about it. “It seems like it drew attendees closer together,” Schmidt said. “They were engaged in healthy competition and it facilitated peer-to-peer contact and I think it enhanced the conference overall.”
In addition to using SCANVenger Hunt at the conference’s main site at the Hilton Columbus Downtown, organizers also used it at their events across Columbus, including at the Columbus Zoo and Aquarium, the Center of Science and Industry (COSI) and a restaurant dine-around. “The group was able to go to the restaurants, scan the code that was in the window and obtain more points that way,” Schmidt said. “We tried to incorporate it everywhere that we went.”
Schmidt said SCANVenger Hunt helped to take this year’s conference up a notch. “What we wanted it to do was enhance the engagement with the sponsors and the attendees and it did that, hands down,” Schmidt said. “We could not have facilitated that process or that engagement with any other activity that we could have done, so it did what we wanted it to do.”
